Executive Assistant responsibilities include but are not limited to:
- Managing the flow of information and prioritizing tasks for executive leadership.
- Screening and coordinating incoming calls, welcoming visitors, and escorting clients.
- Managing executive calendars, including scheduling appointments, coordinating travel plans, and preparing itineraries.
- Overseeing daily office operations, including organizing mail, maintaining office supplies, and managing corporate files.
- Preparing and formatting internal and external corporate communications such as newsletters, reports, and correspondence.
- Coordinating conference room bookings, preparing meeting materials, and distributing meeting minutes.
- Interacting with clients, vendors, and guests, documenting and addressing inquiries or complaints, and escalating unresolved issues.
- Conducting data analysis, research, and creating presentations for executive projects.
- Administering corporate communication platforms and updating website content as needed.
- Supporting accounting tasks, including handling invoices and preparing financial reports.
- Other duties as assigned.

- Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and internet research; capable of learning and using accounting software.
- Professional, courteous, and patient demeanor in interactions with visitors, callers, and colleagues.
- Highly skilled in managing competing priorities and extensive paperwork while maintaining clear and professional written and verbal communication.
- Hands-on and detail-oriented, with expertise in drafting instructions, correspondence, and professional documents.
- Basic accounting skills, including managing invoices, spreadsheets, and reports.
- Bachelor’s degree or equivalent experience, with at least three years in an executive support role.
